We are currently seeking an accomplished Executive Assistant (EA) to join our team in support of our Vice President.
In this position, you will play a key role in ensuring the smooth functioning of their daily operations and overall efficiency supporting the pillars of the Woodmeister organization.
The ideal candidate will possess excellent written and verbal communication, organization, and problem-solving skills, with a keen eye for detail and the ability to handle sensitive information with discretion.
The successful candidate will be comfortable interfacing with clients, jumping in to help with client recovery, communications, and logistics as needed.
Responsibilities:
Manage complex calendars, including scheduling, organizing, and coordinating meetings, appointments, and travel arrangements for Vice President.
Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
Act as the primary point of contact for the Vice President, liaising with internal and external stakeholders and clients, and handling inquiries and requests professionally and efficiently.
Organize and attend executive meetings, preparing agendas, taking minutes, and tracking action items to ensure timely follow-up and execution.
Maintain confidentiality and discretion when dealing with sensitive information and company matters, adhering to data privacy and security regulations.
Manage special projects and initiatives on behalf of the Vice President, conducting research and analysis to support decision-making.
Develop and maintain effective and efficient administrative systems, including electronic filing and document management.
Collaborate with other departments and team members to support company objectives and drive continuous improvement.
Anticipate the needs of the Vice President, proactively addressing issues and concerns to ensure a high level of executive support.
Other duties as assigned.
Qualifications:
Bachelor's degree or equivalent experience in business administration or a related field.
Minimum 5 years of experience supporting C-level executives, preferably in a fast-paced, dynamic environment.
Exceptional verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders.
Strong organizational skills and attention to detail, with the ability to multitask and prioritize competing demands.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and experience with virtual meeting platforms.
Ability to maintain a high level of confidentiality, professionalism, and discretion.
Self-starter with a proactive approach to problem-solving and a strong sense of initiative.
Excellent time management skills and the ability to work independently with minimal supervision.
Adaptability and flexibility in a constantly evolving environment.
